Program: SayPro Development 5-Day Meditation & Relaxation Camp
Module Code: SCDR.4.8.4
Location: Neftalopolis Retreat Center & Virtual Access
Focus: Oversee daily camp activities to ensure smooth execution, address any issues, and create a supportive, engaging environment for all participants.
🎯 OBJECTIVES
- Create a seamless flow for both in-person and virtual participants throughout the 5-day camp.
- Monitor and adjust the schedule as needed to ensure all activities are conducted on time and with optimal engagement.
- Coordinate with instructors to ensure they have the support and resources needed to deliver their sessions effectively.
- Provide continuous support for in-person attendees at Neftalopolis, ensuring comfort, safety, and engagement.
- Address any technical or logistical issues that arise for virtual attendees to maintain smooth participation.
🧑🏫 Instructor Coordination and Support
1. Pre-Session Briefing
- Instructors’ Daily Check-In: Every morning before the first session, conduct a short meeting with all instructors (in-person and virtual). Discuss the day’s schedule, any changes, and specific tasks (e.g., meditations, breathing exercises, relaxation techniques).
- Daily Theme & Intentions: Remind instructors of the day’s theme (e.g., grounding, clarity, letting go) and ask them to reinforce the theme in their sessions.
2. On-Site Support for Instructors
- Instructor Liaison: Assign a camp coordinator to be available for any immediate needs during sessions. This could include helping with room setup, adjusting equipment, or offering breaks when needed.
- Classroom Materials: Ensure all instructors have the necessary materials—audio guides, props, handouts, or visual aids—ready before each session begins.
🏞️ In-Person Participant Management (Neftalopolis)
1. Arrival & Welcome Process
- Registration Desk: Ensure smooth check-in for all attendees with a dedicated registration desk where participants receive a welcome kit (Mindfulness Journal, schedule booklet, camp materials).
- Welcome Briefing: A brief welcome session or orientation to help participants understand the schedule, where each activity will take place, and the camp guidelines.
- Introductory Circle: Start with an opening circle or group introduction so that participants can meet each other and feel comfortable sharing intentions.
2. Participant Engagement & Comfort
- Set Up Meditation Spaces: Create comfortable, serene environments for meditation with adequate space, mats, cushions, and blankets for relaxation sessions.
- Comfort & Safety Checks: Have team members walk through the space before each session to ensure everything is set up, and check that attendees are comfortable (adjusting temperature, seating arrangements, etc.).
- Nourishing Breaks: Ensure healthy snacks and drinks (water, herbal teas, fruits, light meals) are available during breaks. Include mindful eating reminders.
- Health and Wellness Check: Ensure that any health-related needs (such as dietary restrictions or accessibility requirements) are managed.
3. Flow of In-Person Sessions
- Session Transitions: Assign team members to guide participants from one session to the next, ensuring timely transitions with clear signage for different rooms or spaces.
- Support During Breaks: Use breaks as opportunities to provide one-on-one support or guidance. This can include group walks, small conversations, or allowing time for personal reflection.
- Group Circles: Have group check-ins or reflection circles after each meditation to encourage sharing of experiences and support among participants.
💻 Virtual Participant Management
1. Technical Setup
- Pre-Camp Testing: Ensure all technology (Zoom, livestream tools, audio equipment) is tested the day before the camp begins, and have backup plans in place for any technical failure (e.g., a secondary platform or extra equipment).
- Daily Check-In: Have a dedicated virtual support team member to monitor the live-streams and manage any technical difficulties or questions from virtual participants during sessions.
- Virtual Reception: Upon logging into the camp, virtual participants should receive a brief welcome message or orientation to ensure they know where to access session materials (e.g., Zoom links, downloadable content, private Facebook group).
2. Session Experience for Virtual Participants
- Live Stream Support: Make sure all in-person sessions are being professionally streamed, with good audio and clear video. Use a secondary camera for wide-angle views of group activities or larger meditation spaces if needed.
- Breakout Rooms: For smaller group discussions, use Zoom breakout rooms or other virtual tools to provide more personal interaction.
- Interactive Q&A: Schedule time for live Q&A or chat interaction with instructors at the end of each session, allowing virtual attendees to ask questions or share reflections.
⏰ Monitoring the Daily Schedule
1. On-Time Execution of Sessions
- Camp Schedule Coordinator: Assign one or more camp coordinators to ensure the schedule stays on track. Monitor the timing of each session and remind instructors or facilitators of the time limits.
- Buffer Time: Ensure that there’s a short buffer between activities, allowing time for transitions without feeling rushed.
2. Adjustments as Needed
- Flexibility for Activities: If a session runs over or an activity requires more time (e.g., an emotional breakthrough during a meditation), ensure the schedule allows for fluidity.
- Participant Feedback: Gather informal feedback from participants during breaks or meals to gauge how they are feeling about the camp’s pace and content.
🔧 Troubleshooting and Problem-Solving
1. Addressing Participant Issues
- On-Site Support Team: Have a team member available to help in case of personal issues—whether it’s something physical (e.g., discomfort) or emotional (e.g., overwhelm).
- Conflict Resolution: If conflicts arise (either between participants or regarding logistics), have a designated camp manager to handle issues discreetly.
2. Technical Support for Virtual Participants
- Real-Time Troubleshooting: Ensure someone is on standby to handle any tech issues participants may experience, such as connectivity issues, audio problems, or difficulties accessing the livestream.
- Backup Streaming Options: In case of platform failure, have a backup streaming platform (e.g., YouTube Live or a secondary Zoom link) ready to go.
3. Participant Check-In
- Daily Check-In Forms: For virtual participants, send out daily feedback surveys or quick check-ins to assess how participants are experiencing the sessions.
- On-Site Feedback: During meals or breaks, have informal check-ins with in-person participants to see how they’re feeling and address any concerns before they escalate.
📅 Post-Session Wrap-Up & Preparation for the Next Day
1. End of Day Reflection
- In-Person Debrief: After each day’s final session, host a group reflection circle for in-person participants to share their experiences and insights. Provide a closing meditation or relaxation practice.
- Virtual Reflection: For virtual attendees, create a private online space (such as a Facebook group or Slack channel) where they can share reflections or continue the conversation after each session.
2. Prepare for the Next Day
- Daily Planning Review: At the end of each evening, have a quick review meeting with instructors and the camp team to ensure everything is in place for the next day’s sessions. Confirm room setups, meditation resources, and any special requirements.
