Objective:
To identify, recruit, and manage a panel of experienced, diverse, and mission-aligned judges who will contribute their expertise and credibility to the SayPro Monthly Final Judging process. The goal is to ensure fair, insightful, and inspiring evaluation of finalists in line with SayPro’s values of community development, innovation, youth empowerment, and social impact.
1. Judge Identification and Recruitment
a. Define Judge Profiles
SayPro seeks judges who meet the following criteria:
- Minimum 5 years of experience in relevant fields (e.g., entrepreneurship, education, sustainability, social innovation, technology)
- Proven alignment with community development or youth empowerment missions
- Experience in judging or mentoring, preferably in competitions or accelerators
- Representation across sectors (NGOs, corporate, academia, public service)
b. Outreach Strategy
Utilize a multi-channel approach:
- Internal Network: Invite alumni, SayPro advisors, and strategic partners
- External Calls: Publish a “Call for Judges” on SayPro’s website, social media, and email newsletters
- Direct Invitations: Personally contact high-profile or targeted professionals with customized letters
c. Application and Vetting Process
- Interested judges complete a Judge Application Form, providing CVs, sector experience, and a short motivation statement.
- The Competitions Office conducts a vetting process, including:
- Background checks (if required)
- Conflict of interest screening
- Availability confirmation for scheduled judging days
2. Judge Onboarding and Training
a. Orientation Package
All confirmed judges receive a digital Judge Onboarding Kit, including:
- Welcome letter from SayPro leadership
- Judging rubric and criteria explanation
- Event schedule and access links (Zoom or venue)
- Code of conduct and confidentiality agreement
b. Pre-Judging Briefing Session
Host a virtual Judge Orientation Meeting 3–5 days prior to the event to:

- Judges use SayPro’s standardized digital scoring sheet or online platform (e.g., Google Forms, Airtable)
- A SayPro moderator oversees each judging session, keeping track of:
- Time allocations
- Session flow
- Q&A facilitation
c. Breaks and Refreshments
For in-person events:
- Provide light refreshments, breaks, and workspace for judges
For virtual events:
- Schedule reasonable breaks and provide virtual networking options post-event
4. Post-Event Engagement and Appreciation
a. Judging Report and Summary
- Request brief reflections or feedback from judges on:
- Quality of presentations
- Fairness of judging process
- Suggestions for improvement
b. Recognition and Certification
- Send personalized Thank You letters
- Provide digital Certificates of Appreciation
- Feature judges in a “Meet the Judges” post-event highlight on SayPro’s website and social media
c. Retention for Future Events
- Maintain a Judge Talent Database with updated records
- Offer select judges the opportunity to participate in future SayPro events as mentors, speakers, or advisors
