Focus: Life and Social Skills Development
Objective:
To design and implement a comprehensive, user-friendly registration system on the SayPro website that captures all necessary participant information. This includes personal details, goals, learning expectations, accessibility requirements, and consent—ensuring that every participant is appropriately prepared and supported for the camp.
1. Registration Platform Setup
SayPro Website Integration
- A dedicated registration page is created under the January SCDR.4.9.4 event listing.
- The form is mobile-friendly, data-secure, and compatible with both desktop and smartphone devices.
- Multi-language options (e.g., English, isiZulu, Afrikaans) are available where necessary.
2. Structure of the Registration Form
The form is structured into the following sections:
A. Personal Information
- Full Name
- Gender Identity
- Date of Birth
- Contact Number
- Email Address
- Residential Address (City, Province)
- Emergency Contact (Name, Relationship, Phone Number)
B. Background and Education
- Highest Educational Level Achieved
- Current Status: In school / University / Unemployed / Working
- Affiliated School, College, or Organization (if applicable)
C. Goals and Expectations
- Why do you want to attend the SayPro Skill Development Camp?
- What life or social skills are you most interested in improving? (Checkboxes: Budgeting, Communication, Time Management, Conflict Resolution, etc.)
- What are your short-term and long-term personal or career goals?
- How do you hope this camp will help you reach your goals?
D. Special Needs and Support Requirements
- Do you have any physical, learning, or psychological conditions that SayPro should be aware of?
- Do you require any accommodations? (E.g., mobility assistance, quiet space access, dietary preferences, language interpretation)
- Preferred Language of Communication
- Do you have access to a device and stable internet for online participation (if applicable)?
E. Consent and Declarations
- I give consent to participate in the SayPro Development Camp and related activities.
- I agree to SayPro’s Youth Code of Conduct and Data Privacy Policy.
- I grant permission for SayPro to use photos or videos taken during the camp for educational and promotional purposes (optional).
- For participants under 18: Parent/Guardian Consent with signature and contact details.
3. Back-End System and Data Handling
Database Integration
- All form submissions are linked to SayPro’s central participant database or CRM.
- Automatic sorting by region, age, and skill interest for group planning.
- Access granted to relevant SayPro staff, facilitators, and support coordinators under secure permissions.
Data Privacy and Compliance
- All data is handled in compliance with POPIA (Protection of Personal Information Act).
- Participants are informed about how their data will be used, stored, and protected.
4. Confirmation and Pre-Camp Communication
Automated Confirmation Message
- A personalized confirmation email is sent upon successful registration, including:
- Registration ID
- Event details (dates, time, location)
- Pre-camp checklist
- Contact for support or questions
Follow-Up
- Participants receive:
- A reminder email/SMS 7 days and 2 days before the camp
- Invitation to join a WhatsApp or Telegram pre-camp group for updates
- Link to a brief pre-camp orientation video or guide
5. Administrative Tools and Reporting
For SayPro Staff
- Exportable participant list (CSV or Excel)
- Summary of participant goals and expectations
- Breakdown of special accommodations needed
- Live dashboard of registration statistics by region, gender, or age
